Job Title: Administrator Type: Temporary 3 months minimum Start: ASAP Location: Portsmouth, Hampshire Salary: £8-9ph Our client are a leading building services and facilities company who are looking for a number of administrators to support their business all across the UK. The have a current vacancy in Portsmouth, Hampshire. You will be required to work Monday to Friday. Responsibilities Technical Responsibilities • Provide administrative duties including: • To answer queries efficiently and effectively • Inputting data onto the centralised computer system • Preparation and maintenance of reports as required by management • Creating Excel spreadsheets and dashboard reports to monitor business performance • Investigating issues and reporting • Reporting of figures to various company departments • Preparation of meeting agendas, minutes and action logs • Answer all incoming calls promptly and politely • Management of various site specific documents including updating and dissemination • Maintaining the Area Office filing system in accordance with the company Quality Management System, both electronic and hard copy • Provide administrative support to other departments and areas as and when required • Plan, organise and co-ordinate internal/external meetings, events, accommodation as requested • Providing documentation to building custodians as requested • Escorting contractors / visitors on site Commercial Responsibilities • Order and control stationery, catering / housekeeping supplies and personal protective equipment • Ensure Security and Fraud prevention systems and processes are adhered to at all times Skills & Experience Profile Essential • Demonstrable experience of general office work • Experienced in data processing, typing and general administrative duties • Good understanding of administrative practices • Knowledge and experience of working within strict ISO policies and processes Desirable • General office experience in a customer focused, high volume construction, property maintenance or related field • Experience of operating in a military environment • Experienced in managing a diverse range of job requests with competing deadlines and demands on resources
